Privacy Policy

The Eastern Cooperative Recreation School (“ECRS,” “we,” “us,” or “our”) respects your privacy. This policy explains what information we collect when you visit ecrs.org or register for our events and programs, how we use it, and the choices you have.

We are a volunteer-led nonprofit. We collect as little information as we need to run our events and improve our website, and we do not sell your personal information.

Information We Collect

Information you give us

When you fill out a form on our site — to register for an event, become a member, make a donation, or contact us — we collect the information you choose to provide. Depending on the form, this may include your name, email address, phone number, mailing address, the names and ages of family members attending an event, dietary or accessibility needs, and payment information for memberships or donations.

Our forms are provided and processed by Cognito Forms. Payments and donations are processed by PayPal and/or Zeffy; we do not store full payment card numbers on our own systems.

Information collected automatically

When you visit the site, we collect limited technical and usage information to understand how the site is performing and how visitors use it. This is described under Analytics below.

Analytics and Cookies

We use three analytics tools:

  • Cloudflare Web Analytics — privacy-first and cookieless. It measures aggregate page views and performance (such as page-load times) without using cookies, without tracking you across sites, and without collecting personal information. It runs on every visit.
  • Google Analytics 4 (GA4) — helps us understand how people navigate the site. GA4 uses cookies.
  • Meta Pixel — allows us to measure whether visitors who clicked one of our ads on Facebook or Instagram went on to register for an event or make a donation. Meta Pixel uses cookies and shares conversion data with Meta Platforms, Inc. Meta’s use of that data is governed by Meta’s Privacy Policy.

We treat Google Analytics and the Meta Pixel differently depending on where you are:

  • Outside the United States (including Canada, the United Kingdom, and the European Economic Area), we show a consent banner and do not enable Google Analytics or the Meta Pixel unless you choose “Accept.” If you decline, neither tool is loaded.
  • Within the United States, both tools are enabled by default. You can opt out of Google Analytics at any time using the Google Analytics Opt-out Browser Add-on, and you can opt out of Meta’s ad tracking through Meta’s Ad Preferences or your browser’s cookie controls.

Your consent choice is stored in your browser’s local storage so we don’t ask again. You can clear it at any time by clearing your browser’s site data for ecrs.org.

How We Use Your Information

We use the information we collect to:

  • Process event registrations, memberships, and donations;
  • Communicate with you about events, your registration, and ECRS news (such as our newsletter, ECHOES);
  • Respond to your questions and requests;
  • Understand and improve how our website and events work;
  • Meet our legal, accounting, and reporting obligations as a nonprofit.

How We Share Information

We do not sell your personal information. We share it only with:

  • Service providers that help us operate — currently Cognito Forms (forms), PayPal and Zeffy (payments and donations), Google (analytics and advertising), Meta (advertising measurement), and Cloudflare (website hosting and analytics) — who may process information on our behalf;
  • Authorities, if required by law or to protect the rights and safety of our community.

Data Retention

We keep registration, membership, and donation records as long as needed to run our programs and to meet legal and accounting requirements, then delete or anonymize them. Aggregate analytics data is retained for a limited period (Google Analytics is configured with a 14-month retention window).

Children’s Privacy

ECRS is an intergenerational organization, and families attend our events together. Information about children is provided by a parent or guardian during registration, and we use it only to run the event safely (for example, for age-appropriate activities, supervision, and dietary or medical needs). We do not knowingly collect personal information directly from children online. If you believe a child has provided us information directly, please contact us and we will remove it.

Your Rights and Choices

You may ask us to access, correct, or delete the personal information we hold about you, and to opt out of our communications at any time. Depending on where you live (for example, Canada, the UK, the EEA, or California), you may have additional rights, including the right to withdraw consent for analytics. To make a request, email us at contact@ecrs.org.

International Visitors

ECRS operates in the United States, and the information we collect is processed and stored in the United States. If you visit from another country, you understand that your information will be transferred to and processed in the U.S.

Security

We take reasonable steps to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to keep your information safe.

Changes to This Policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above and post the new version on this page.
